At Ribbon & Roots, every letter is written, printed, and mailed with care. This policy explains how our shipping and delivery process works for both one-time letters and subscription plans.
Once you share your story with us — by form, text, or voice memo — our writers craft your letter, and it goes through review before it’s printed and prepared for mailing. Your letter is then sealed, stamped, and sent by mail directly to the recipient’s address you provide.
We do not deliver letters electronically or by email. Every Ribbon & Roots letter is a physical piece of mail, sent to a real mailbox.
After your letter content is finalized and approved, we typically need a short processing period to print, prepare, and package your letter before it’s handed off to the postal carrier. Processing times may vary slightly depending on your plan, any add-ons selected (such as premium stationery or a wax seal), and current order volume.
For subscription plans, letters are generally prepared and mailed according to the schedule associated with your plan (for example, around your renewal date or a set day each month), so they arrive close to the occasion or date they’re meant for.
Once your letter is mailed, delivery time depends on standard postal service transit times, which can vary based on the recipient’s location. Domestic deliveries within the United States generally take a few business days after mailing, though this is an estimate and not a guarantee, since delivery is ultimately handled by the postal carrier.
We recommend allowing enough lead time before an important occasion — such as a birthday or anniversary — when placing a one-time order or setting your delivery preferences, to help ensure your letter arrives when it matters most.
Standard mail delivery is included at no extra charge on all Ribbon & Roots plans and one-time orders. Any applicable shipping or delivery costs, if they apply to a specific order or add-on, will be clearly shown at checkout before you complete your purchase.
Once a letter leaves our facility, it is handled by postal carriers outside of our direct control. While we take care in how each letter is packaged and prepared, we cannot guarantee exact delivery dates and are not responsible for delays, loss, or damage that occurs during postal transit.
If your letter is significantly delayed or appears to be lost, please contact us. We will work with you to investigate and, where appropriate, resend the letter or address the issue in line with our Refund & Return Policy.
For subscription plans (Loyalty, Legacy, Heirloom, and Ribbon Reserve), letters are mailed on a recurring basis in line with your plan’s letter frequency and any occasions you’ve set up. You can review your upcoming letters, occasions, and delivery schedule through your account, or by contacting us directly.
If you’d like to pause, adjust, or reschedule an upcoming letter within your subscription, reach out to us with enough advance notice so we can accommodate the request before that letter enters production.
If you are sending a letter to a recipient outside the country in which your order originates, please contact us before placing your order to confirm availability, estimated delivery timelines, and any additional requirements for international mail.
